Internal audit key points and reminders - 1 November 2022
All expense claims must be in line with the Expenses Principles
Every claim should be fully self-contained
All supporting information should be attached to the claim
Evidence of a purchase should be checked by an approver
Add comments to explain why an item that appears outside the Expenses Principles has been claimed and/or approved
Claims identified as potential duplicate claims which do not contain sufficient evidence to the contrary will be held for payment until such evidence can be provided. Approvers should reject and report duplicate claims to counterfraud@admin.ox.ac.uk
Expense types
Amendments and new expense types - 10 October 2022
Expense types for staff subsistence have been amended to distinguish these from entertaining expense types. Staff subsistence should be used for items purchased in the course of business travel.
New expense types have been added for:
Staff subsistence - other, e.g. groceries for staff on long term fieldwork
IT accessories
Lab supplies
Recruitment costs, e.g. background checks where it is not possible for these to be paid for by the department
Overseas fieldwork payments to workers, e.g. informal payments to individuals (local guides, etc.) supporting research overseas

WalkMe - 5 October 2022
SAP Concur have activated new WalkMe functionality within eExpenses. This feature guides users step by step through the most common tasks from creating and submitting a claim to approving.
Simply click on the blue question mark on the right hand side of the page when logged into SAP Concur and select "Get assistance".
The SAP Concur eExpenses user interface is changing from 12 September 2022.
SAP Concur have responded to their users’ feedback and requests to improve functionality and accessibility by updating the claimant screens. There are no changes to the approver screens.
