What is the Oracle Financials R12.2 Upgrade project?

We are upgrading the Oracle Financials system to version 12.2. We are working towards a go-live in February 2022.  This includes an upgrade to how Oracle Financials will look and feel, as well as a refresh to the technology infrastructure that supports the system. There will be minimal changes to user processes.

Why do we need to change now?

There are several key reasons for undertaking this upgrade:

  • Support – Oracle support for the current version is due to expire so we must upgrade to ensure ongoing support.
  • Performance & stability – We aim to mitigate system performance issues.
  • Scalability – We need to increase our capacity to support expected growth in user numbers.
  • Maintenance - We can reduce the amount of system downtime needed for ongoing maintenance.

What is the timeline?

The project is working towards a February 2022 go-live.

Activities to date
Over the last year we have worked closely with our implementation provider to deliver the upgrade and engaged key stakeholders across the University to ensure the system continues to meet University finance needs and the finance community is prepared and equipped for the upgrade.

What happens next
We are putting together a series of communications and learning events that will provide users with the information needed to:

  1. Prepare for the upgrade - We will provide users with a list of preparatory activities to be undertaken before the system is taken down.
  2. Use the upgraded system - We will hold a series of upgrade roadshows and briefing events, and provide users with updated guidance materials.  These will explain how the interface has changed, plus any other differences that users need to know before they start using the upgraded system.

Whilst there are a few changes to particular system modules, the biggest difference you will notice is that the overall user interface has a different, more modern, look and feel. Both the interface changes and specific changes to modules will be covered in briefings and further communications starting in January.

Because the changes to the system are minimal, we won’t require that you undertake any training.  We will, however, be running some briefing events to which we recommend you come.

At these events, we will take you through how the system has changed so you will be familiar with it before the launch.  We will also explain any preparations you may need to make before the system is taken down for the upgrade.

We will send you details of how to join events in early January.

All the Oracle Financials Guidance materials, with which you are already familiar, will also be updated and ready for you to use should you need to reference them after the upgrade.

The system will be unavailable for two business days plus a weekend.  SplashBI will be unavailable for one additional business day.

We are minimising the time period for which the system will be unavailable, but you will not be able to access the system while it is being upgraded.  

We know this is disruptive but we will provide you with details of what you should do before the system goes off-line so that you are prepared.  You may, for example, wish to run reports in advance so you can work on them while the system is down.
 

We have worked closely with the Process Oversight Groups (POGs), and process user groups, as well as central Finance teams to ensure finance processes continue to be supported by the upgraded system.

In particular, we had a good number of user representatives undertaking User Acceptance Testing (UAT) during October and November 2021.  This means we are able to be confident that upgrade, when rolled out, will continue to meet user needs.
 

You do not need to do anything right now and we will issue further communications during January and February 2022, so please look out for this and take action as necessary.
