Aims

It is essential that those responsible for conducting tender processes have the correct skills and knowledge to complete the process efficiently whilst satisfying audit requirements.

This course is suitable for:

  • University staff responsible for managing tender processes within their departments who wish to explore the tender process in greater depth .
  • Departmental staff working with the University Purchasing Department on high value procurement projects who wish to understand the process and roles and responsibilities .
  • Managers who wish to understand best practice procurement, in order to develop better working practices within their own departments.

Objectives

This Introduction to Tendering course is a two part course and will provide an overview of the University's tendering processes and will explore how best value for money can be achieved. It will explain best practice throughout the tendering process, including interacting with suppliers, specification drafting, evaluation and contract award. The course will also briefly touch on negotiation techniques and explain how good procurement can support effective contract management.

Part One of this course covers:

  • An overview of the University's tender processes and thresholds
  • Supplier selection and due diligence
  • Writing an effective specification
  • Developing the invitation to tender

Objectives

The Managing Open Purchase Orders Workshop will primarily deal with Purchase Orders which are over 6 months old and will offer information and assistance on how to resolve them. It will enable users to:-

  • Overview of the University's general purchasing policy and its aims.
  • Valid and invalid reasons for tender exemptions.
  • An overview of the various sections of the tender exemption form.
  • Practical tips on completing tender exemptions to ensure first time approval.
  • Approval processes.

This course is intended for anybody who manages month end/year end processes for sales or trading activity within a department or division. 

Objectives

  • The Trading Activities Workshop will look at the following:-
  • Differentiate between Trading and Non-Trading

Aims

This session is intended for departmental administrators and divisional staff with responsibility for the day-to-day management of Trust Funds. It provides background information on how Trust Funds are created and managed, and explains the information that is available within the Oracle Financials accounting system. Objectives:

By the end of the session, you will be able to:

  • Recognize how Trust Funds are identified in the General Ledger through the B Source of Funds, and whether they are restricted or unrestricted, expendable or not
  • Describe how income is reclaimed from a Trust Fund
  • Describe the responsibilities of the department with regard to Trust Funds
  • Identify the reports that are received or that can be generated

The course will explain some commonly used negotiation tactics, and briefly touch on the different approaches to negotiation.

The course will also highlight some common conditioning tactics used by suppliers when negotiating.
